New Role - Receptionist:
Clinic owners and leaders can now invite receptionists to their clinic, even if Cliniko integration is not in place.
Similar to practitioners in your clinic, receptionists have their own profile page where they can access their Actions, Notes, Credentials, Resources & Playlists that have been shared with them.
Receptionists do not have access to dashboards, data, timesheets, or targets.
Enhanced Email Notifications:
Playlist Access Notifications: Keep your team informed! Whenever a team member is granted access to a playlist, they will receive a notification.
Acknowledgment Reminders: Ensure compliance by sending notifications to team members who need to acknowledge shared resources, reminding them of the required action.

You can now set specific resources as "required" to ensure all team members are aware of and have reviewed essential information.
Choose between one-time or yearly acknowledgment frequencies to align with your specific needs.
Easily reset the acknowledgment status for all team members who have access to a resource, allowing you to start fresh for new policies or updates.
Track Compliance

New Revenue Metric and Data Accuracy Improvements
We're excited to introduce a range of updates designed to enhance your financial tracking capabilities and improve the clarity of your data visualisations.
New Revenue Metric - Total Product Revenue:
Ever wondered how much your product sales are contributing to your overall revenue? Look no further! Our new "Total Product Revenue" metric provides a clear and comprehensive breakdown of all income generated from product sales, regardless of whether they were linked to appointments or classes.
Excluding Product Revenue from Appointment Revenue Metrics:
We've adjusted the calculation for Individual and Class Appointment Revenue to exclude product-based revenue. This ensures you can focus solely on the performance of your core services and gain a clearer understanding of your service-based income.
Updated Algorithm for Forward-Looking Metrics:
We've also refined the algorithm for the "1 Week Forward" and "4 Weeks Forward" metrics to ensure accurate tracking of trends and actual figures at the end of a week.
Additional Enhancements
Experience a cleaner and more focused dashboard with the curved lines and removal of the dotted trend lines.

It provides a comprehensive overview of revenue generated from appointments and classes, excluding product sales. This allows you to focus solely on the performance of your core services and easily calculate rewards or bonuses for practitioners.

New Metrics and Chart Improvements
We're thrilled to introduce new profession-based metrics and enhanced charts in your dashboard.
Introducing "New to Service”
Understand your client base better with the new "New to Service" metric. This metric reveals the number of clients who have booked an appointment with a practitioner from a different profession for the first time. This valuable information helps you identify opportunities to introduce new services to your clients and expand your clinic's offerings.
Evolved "New Episode”
We've refined the calculation for "New Episode" to provide a more accurate representation of client engagement. Now, "New Episode" is determined by the number of clients who return for the same service (profession) after a 4-month interval.
Simplified Chart Visualisation
We've removed the "Weekly Average" calculation from a list of average metrics, including Rebooking Rate, Cancellation Rate, PVA and more.

Create a Policy, Procedures and Training Hub within Allie so that your team can connect data with actions easily. Resources will be a new feature added to Allie in the coming weeks - stay tuned.

Allie Standardised Professions
We're excited to announce an update that lays the groundwork for some powerful upcoming analytical metrics! Here's what's new:
Standardised Profession List
We've introduced a brand new, standardised list with 36 professions encompassing a wide range of healthcare specialties for your practitioners.
Auto-Mapped Existing Professions
We've attempted to automatically map existing practitioner professions to the new standardised list using keyword matching to save you time. Review is recommended! Some professions may not be mapped exactly, and you can easily adjust them for accuracy.
Flexibility and Control
Additionally, clinic owners can always adjust the profession for any practitioner if necessary. The change will automatically trigger a recalculation of the profession-based metrics for that specific practitioner, ensuring your data stays up-to-date and accurate.
Enhanced Profession Filter
The "Profession" filter options have been updated to reflect the new list, guaranteeing seamless filtering on your clinic dashboard and metric details page.

Allie on Mobile Gets a Major Upgrade!
We've been busy making Allie even more mobile-friendly, now we are excited to announce a major refresh to key pages including the My Clinic page, My Team page, Practitioner Profile page and Metric Detail page. Now you can access and manage your clinic with ease, right from your phone.

Level Up Your Clinic Management
We’ve listened to your feedback and in this release of Allie, we’re adding the ability to invite additional clinic owners to your clinic with the introduction of the new Owner role.
The new Owner role will have full permissions, but can be removed by the primary owner (this is the user that signed up to Allie).
It’s easy to switch between Owner, Clinic Leader, and External Mentor roles for your team members, ensuring everyone has the access they need.

Enhanced Practitioner Target Tracking
In the latest release of Allie we have introduced a new design that improves practitioner performance reporting on the My Team Page. This revamped design provides clinic owners, leaders, and mentors with a more intuitive and informative view of practitioner target completion rate.
Easily identify top performers exceeding weekly targets and practitioners who might require additional support to hit their targets.
Simply hover over the label under each progress bar to view the actual achieved value and target for each key metric. Gain instant insights into your team's performance without navigating away from the page.
Additionally, in this update we have improved data accuracy for Outstanding Treatment Notes.

Introducing Credential Document Management
We are excited to announce a powerful new feature that will streamline how credentials are managed for your practitioners. The new "Credentials" section, accessible from each practitioner's profile, provides a centralised hub for maintaining up-to-date credential document information.
Clinic leaders can now easily add and monitor credential document details for practitioners. This centralised system ensures that credential records are accurate and readily accessible.
Practitioners also have the ability to directly add, update, and remove their own credential document information within their profiles. This self-service approach empowers practitioners to take an active role in maintaining the accuracy of their credential records.
To ensure all credential documents are up to date, Allie will automatically send reminder emails to both clinic administrators and the respective practitioners when a credential is approaching its expiration date. These timely notifications ensure that renewal processes can be initiated promptly.

Improved clinic target calculations
Total clinic targets no longer include ‘inactive’ practitioner targets
Zero-value targets (0%) are now excluded from average target calculations, such as Average Revenue target and Rebooking Rate target

Updated Metrics and Target-Setting Process
Improved Revenue Calculation
We've updated the Total Revenue metric in Allie to match Cliniko. It now accurately reflects all invoices issued during the selected period. This eliminates discrepancies between Allie and Cliniko.

🚅 Improved Onboarding
Introducing the latest release of Allie, designed in response to your valuable feedback on team member onboarding. In this update, we've focused on enhancing the onboarding experience for all users. While much of the work has occurred behind the scenes to streamline processes, here are some key highlights:
Automatic Account Creation:
Addressing reported issues of practitioners signing up with incorrect email addresses, we now automatically generate user accounts when they are invited to Allie.
Users are prompted to reset their password during this process, eliminating the need for practitioners to manually sign up and simplifying the onboarding process for your team.
Elimination of Direct Sign-Up Page:
To prevent accidental creation of new accounts without following the invitation process, we have removed the direct sign-up page.
This ensures a more controlled onboarding experience, reducing the risk of unnecessary account creation.
Automatic Account Linking:
We've implemented a new feature to automatically link accounts associated with the same email address.
Whether you log in directly with an email or through Google/Xero integration, data will seamlessly link as long as the email address remains consistent.
Other improvements
Timesheets have been improved with better error handling and more informative messaging
The Data section has been re-organised to show recent weeks on the left, making it easier to access the latest data

🔐 Metric Permissions System
We're thrilled to announce the launch of Allie's new Metric Permissions System feature!
Manage who sees what within your clinic easily. The all-new Permissions tab in Settings gives clinic owners granular control over metric visibility for each user role. Simply check or uncheck the relevant boxes to define what data each role can access. All metrics are visible by default, ensuring a smooth transition.

Allie has been enhanced to manage concurrent onboarding processes, ensuring a faster initial data import.
Sorting options in My Team have been improved and now show any custom metrics that have been selected.
We've removed the dependency on Xero for Employment Utilisation, making it visible once again in the list of metrics when filtering by location.

📝 Notes and Actions
We’re excited to share the release of the new Notes and Actions feature in Allie! We’ve completely revamped the way Notes work, now allowing you to create and assign Actions to your clinic’s Practitioners. We’ve also added a new Actions tab to the practitioner dashboard, showing all Actions assigned to a Practitioner and allowing you to create standalone Actions separate from Notes.
Do more with Notes and Actions: Jot down your notes during a Mentoring Session including a list of Actions using Allie’s built-in Mentoring Session template, track your Practitioner’s onboarding journey with individual to-do items using Actions, and more!

⏰ Default Weekly Timesheet Hours
We heard you, working with timesheets can get pretty tedious - that’s why in this release of Allie we’re bringing you Default Weekly Timesheet Hours. This new feature lets you set a default weekly timesheet for a Practitioner at a Location, and Allie will automatically populate the hours with your configured defaults each week. No need to manually go through every single Practitioner’s timesheets for every single Location every week!
We’ve also tidied up and made a few things better in Allie’s timesheet feature:
A few things in the timesheet were renamed to make their intent clear: Contracted Hours are now Paid Working Hours, and the summed up Working Hours are now Clinical Hours.
The Billable Utilisation metric is now called Clinical Utilisation to help make it clear that it answers the question: “Of the hours logged in the timesheet, how many were spent doing specifically clinical work?”
The Employment Utilisation has been revamped - it no longer pulls data from Xero, it now uses just the Cliniko Service hours divided by Paid Working Hours (first row of the timesheet)
📊 Customisable Metrics in the My Team Page
One of Allie’s most requested features - we’ve added a new Customise button at the top of the My Team page to let you select your own three metrics to show at a glance for every Practitioner in the list. You can now pick the metrics most relevant to you and not have to settle for the defaults!
🏥 Improvements to Locations
Thanks to everyone who’ve sent their feedback about Allie’s improved Locations feature! In this release, we’re changing the way Locations are displayed - they will now be showing their Cliniko Display Name instead of the Business Name like before. In the Location Filters, we’ve also grouped Active and Archived Locations separately so you can more easily see the Locations most relevant to you.
Behind the scenes, we’ve also brought improvements to Allie’s backend. We’ve fixed bugs with the No Future Appointment metric and the Metric Detail page, and we’ve also made some optimisations to keep things snappy.

🎚️ Allie Filters Redesigned
We just made filters in Allie 100x better! This release brings you the ability to mix-and-match different filters together, overcoming the limitation of having to pick just one, and allowing you to drill down into your data multiple segmentations. Here are a few examples:
Combine Location and Profession filters together to see how your Podiatrists are performing in your Adelaide CBD clinic
Use Mentor and Location filters together to see how well John Doe’s mentees are performing in your Sydney clinic
Or how about manually selecting Practitioners and Locations to see how well a few specific practitioners did in your Melbourne clinic?
The possible filter combinations are nearly endless. You can also combine them with Date Ranges for an even better historically accurate view of your clinic’s performance.

We’ve also integrated better metric definitions right inside Allie’s Help Center. If you need a reminder of what a specific metric is and how it’s calculated, hover over the ❔ icon right next to a metric’s name to read the quick tooltip - or click on it to reveal the full explainer without ever leaving your dashboard!

🌏 Improved Locations in Allie
The Allie team has been hard on improving the Allie’s Locations feature, and today we’re excited to let everyone know about a major set of improvements we just released!
Automatically synced from Cliniko Businesses: Allie’s Locations are now synchronized from Businesses you’ve set in Cliniko, and automatically mapped directly to your clinic’s Practitioners.
Data filtering by Locations: You can now use Location filters to drill down into your My Clinic and My Team views and see your clinic and practitioner data segmented by Location. This allows you to view the performance data of every Practitioner based on the Location where they have appointments.
Location-based timesheets: Timesheets now allow you to select a specific location to add hours for a practitioner. You can also view the total hours worked across all locations by selecting "All Locations".
👋🏻 Help Center in Allie’s live messaging
You can now start using Allie’s live messaging feature to browse through curated Help Center articles. Just launch the live messenger by clicking on the button at the lower-right of your screen and click on Help to start browsing through the articles.
As always, the Allie Team is ready to listen. Send your thoughts and questions using the built-in messenger in Allie, and we will respond to you as quickly as possible.

Mentor Role
The new Mentor role is now live: Clinic Owners can assign users in their clinic to be Mentors, and they will have access to performance and historical data, and be able to set groups and targets of practitioners who have them as their Mentor.
Other Improvements
Improved user invitation process: We have made changes to how invitations work in Allie. In the past, we’ve had reports of newly-invited Practitioners not seeing their data. This was due to their login name not matching their Practitioner name in Allie. This new release fixes that - they are now linked directly upon invitation, and should be able to see their data regardless of name.
Improved account sign-up and sign-in: Allie will now notify you if you’re logging in with a different method than what you’ve previously used to create your account.
Billable Utilisation targets: You can now set targets for a practitioner’s Billable Utilisation metric. We encourage you to keep using the Allie Timesheet to get even better data over time.
Locked practitioner settings: Practitioners can no longer edit their own Group, Mentor, and Targets.
Better chart target displays: We’ve refreshed the design of targets in metric charts to make them easier to see.
Upcoming Changes
New and improved Locations in Allie: The Location tag for a Practitioner will soon be automatically mapped to the corresponding Businesses in Cliniko. This gives you more granularity over your data and control over your reporting. In preparation for this, you can no longer edit the current Location tags as we sort things out behind the scenes. Stay tuned for this new feature!

Billable Utilisation Metric
The new Billable Utilisation Metric shows how much time was spent on appointments (based on Service Hours), from the paid hours logged in Allie’s Timesheet. This metric can help you track how efficiently your team is using their time and identify areas for improvement.
We encourage everyone to start using the Allie Timesheet so that we can get a more accurate picture of the overall billable utilisation data.
Other Improvements:
Loading screen: Graphs will now show a loading animation while the data is loading instead of getting “0” data during filter or period changes.
Backend calculations: Improved to make the No Future Appointments number and Rebooking Rate more accurate.

Enhanced Filtering and Custom Date Range
In this release, we've introduced several powerful enhancements for greater flexibility and control to help you manage your data more effectively. Here are the key improvements:
Enhanced Filtering: Easily tailor your metrics by filtering them based on Profession, Location, Mentor, and Group, making it simpler to find the information and segment you need.
Custom Date Range support: Specify date ranges according to your preferences and compare trends over different time periods.
Daily Data Sync: Enables you to drill down to a single day of data to help you identify trends and patterns that may be difficult to spot with less granular filtering.
Other Improvements
Intercom: A live-chat and help button so you can chat with the Allie team directly from the dashboard. Feel free to reach out for any assistance, feedback, or questions you may have.
Timesheet: Manually input your daily working hours. Soon, your timesheet data will be used to calculate a new metric that shows your contracted hours minus public holidays, annual leave, sick leave, and other non-service time.
Optimised onboarding workflow: An updated invitation email and streamlined first-time login experience make it easier to get started with Allie.

Optimised Data View
This release offers better accessibility and visual control over your data. Here are the key improvements:
Vertical Weekly View: Redesigned the view such that each column represents one week to allow seeing multiple weeks in a glance and enable future grouping options
Metrics in Rows: Reorganised the layout to display the metrics in rows, to allow more flexibility in adding and comparing metrics
Column Management: You can now hide or pin columns (weeks), to easily focus on specific time periods and allow side-by-side, week-to-week comparison
Conditional Formatting: Effortlessly view highlights of performance over the target setup and identify areas for improvement.
Header and Column Freeze: Provides ease of navigation and makes it easier to find specific data cell.

Sortable Practitioner List
The practitioner list in My Team can now be sorted by different options, such as name, performance, and target. This makes it easier to identify who’s performing well and who may need help for improvement.
Other Improvements
Intuitive Target setup: You can now clear the target by emptying the field and also enter percentage values without using decimal points(e.g. enter "50" or "50%" to represent 50%).
Enabled Notes and Targets on more screens: Notes and targets for practitioners can now be edited in more screens, such as data view and metric detail view

Quick View of Practitioners
Clinic Owners or Clinic Leaders can now get a brief overview of all active practitioners' performance in the last week. This view includes both actual numbers and target completion status, along with the week-on-week trend, giving you valuable insights at a glance.
A coloured bar chart is used to explicitly show the target completion status.
For Revenue and Rebooking:
RED bar for less than 90%
YELLOW bar for 90-95%
GREEN bar for above 95%
GREEN on GREEN bar for over 100%
GREY bar for those without target setup
And the reverse for Cancellation:
GREEN bar for below 100%
YELLOW bar for 100 - 105%
RED bar for above 105%
RED on RED bar for more than 200%
GREY bar for those without target setup
Other Improvements
“No Future Appointments” included in chart options: enables visualisation and analysis of this data to help identify operational issues and areas for improvement.
Sortable weekly data: allows the most recent week to be on top for easier access on the latest developments.

Embedded Videos: Embed instructional videos right into your notes, giving clear guidance on how to increase performance and optimise productivity
Copy/Paste Links: Effortlessly share clickable links within notes to give team members quick access to relevant information, such as ClinicMastery’s Kajabi courses
Add Checklists: Include checklists to create and track important actions

Practitioner Details: Access each practitioner's details conveniently from the dashboard for a smooth review process during evaluation sessions

Current Week View
In this release, you can now see data up to the previous day in the primary chart view, instead of just the previous week. This makes it easier to track day-to-day clinic and practitioner management with the most recent data.
Other Improvements
Quick Switching: Switch between practitioners in the practitioner dashboard easily without having to go back to the My Team page.
Data Sources Indicator: We’ve added information about the data source for each metric via the tooltip and labels to provide more context about where this data comes from.

Link Practitioner to Xero Employee
By default, Allie links practitioners between Cliniko and Xero when there is an exact name match in the two systems. With this release, clinic owners can now manually map practitioners between the two systems. Once a practitioner is mapped, it will trigger the automatic sync and all Xero data will be available in the Allie dashboard.

Enhanced login flow: If a user only has access to one clinic, they will now be automatically logged in to the clinic dashboard. This will make it easier for users to get to the information they need.
Sign up/sign in with Xero: A new option to sign up/sign in with Xero has been added to the login screen. This will make it easier for users who already have a Xero account to get started with Allie.

Practitioner panel: Displays the practitioner status on Cliniko/Xero/Allie, to help understand the mapping status.
Optimised scrolling: Easily see your charts and targets/notes side by side on a single screen.
More visual hint on new invites: Get information on the roles and the associated risks when inviting users.
Auto-calculate clinic-level targets: Clinic-level targets will automatically be calculated based on practitioners’ targets. Please note that this version is limited for now and we are working to improve this feature for upcoming updates.

Notes
We are thrilled to introduce the new and highly anticipated Notes feature, specifically designed to make your life easier by helping you record essential insights, conduct thorough reviews, and engage in meaningful conversations.
By default, notes are visible to both the author and the practitioner, making it perfect for those 1:1 sessions. You can highlight their achievements, discuss areas for improvement, and set goals together.
All users now have access to the Notes feature directly from the right toolbar in the practitioner's dashboard and simply save by clicking Save or by pressing Ctrl+Enter in Windows or Command+Enter in Mac.
Private Notes
We’ve also added the ability to set your note as "Private". When a note is marked as private, it will only be visible to the author, ensuring confidentiality and privacy.
Archiving Notes
Authors now have the option to archive notes. When a note is archived, it will no longer appear in the active notes list, helping to maintain a tidy and organised view.
Note Editing
Additionally, we have introduced the ability to edit existing notes, enabling you to revise and update information as needed. The system will indicate when a note has been edited, ensuring a clear revision history.

Specialised Pages and Target Setup
In this release, we have rolled out the four most-requested features. These new features are designed to make it easier for you to manage your clinic, team, and practitioner settings. We hope you find these features helpful!
My Clinic - Clinic Owners and Clinic Leaders can now view detailed metrics and data for each practitioner in the My Clinic page.
My Team - Clinic Owners and Clinic Leaders can now view a full list of active and inactive practitioners in the My Team page. The data is taken from Cliniko.
Practitioner Dashboard - A page that provides a visual overview of each practitioner's performance and includes a variety of metrics.
Target Setup - You can now setup your weekly targets in the Practitioner Dashboard to help monitor performance over time and identify areas for improvement.

Customise Dashboard Charts
In our latest release, we've added the ability to customise the charts on your dashboard. Now, every chart on your dashboard has a 3-dot menu that you can use to change the displayed metric.
This feature was highly requested, and we look forward to receiving your feedback on how we can continue to improve it for you!
Other improvements
The main Allie menubar has moved from the left side of the page to the top of the page. This new layout makes room for some new features we will be adding over the next few weeks 👀
We have moved the Auto Target Setup button to the main dashboard page for quicker access

Auto Target Setup
Beta
Introducing Auto Target Setup – a powerful new feature that streamlines target setting for practitioner metrics. Setting targets for each practitioner individually can be time-consuming and tedious.
With Auto Target Setup, you can now automatically set targets based on each practitioner's performance over the last 12 weeks.
Of course, you can still set or modify any metric individually, even after running the Auto Target Setup feature.
Please keep in mind that this feature is currently in beta and we are continually working to enhance its capabilities. We would greatly appreciate any feedback you can provide on what is working well and what could be improved.
Other improvements
We've made improvements to the date range selector. Now, when you select a time period, you'll be able to see the start and end dates displayed clearly.
Introducing the new contextual sidebar component to Allie, located on the right-hand side of your screen. This sidebar will gradually be updated with useful features over time. Our first update includes the addition of a Help module, giving you quick access to helpful resources like your private Allie Slack channel.

User Management
You can now invite your leaders, practitioners, and business partners to your view your clinic data in Allie.
In the first release of this feature we’ve introduced three user roles:
Clinic owner,
Clinic leader, and
Practitioner.
The Clinic leader role has access to all the same information as the Clinic owner, except for Settings and Wage data.
The Practitioner role only has access to their own performance data.
To get started with user management, simply head to the Clinic Settings menu.
Other improvements
Improvements to the Utilisation metric. We now only include data from practitioners that are both in Cliniko and Xero. While this should drastically reduce the instances of utilisation greater than 100%, there may still be some outliers. We will continue to refine this metric.
You can now hover your mouse over metric labels on the dashboard to see a tooltip description of that metric.
